1. Clifford Chance's commitment to your privacy


At Clifford Chance, we are committed to protecting your privacy. This Privacy Statement (the "Statement") describes the ways in which we may collect and use information about you, when you apply for a job with us, and during the recruitment process that follows. Note that when we refer to 'Clifford Chance', we collectively mean Clifford Chance LLP (London) and/or the respective local Clifford Chance entity to which you have applied.


2. What do we mean by personal information?


When we say 'personal information' we use it to mean information about you, and from which you could be identified, including information which may be protected under the privacy or data protection laws of the country in which you are employed, including your name, your email address, your work experience and background information.

 

3. Sources of personal information 

 

We collect your personal information directly from you, from recruitment agencies or service providers involved in the recruitment and screening process.  We may also generate data about you during your application process.

 
4. Why do we need personal information from you?

   

We need to collect your personal information for a number of purposes relating to recruitment, including:

   
To assess your suitability to work for Clifford Chance;
  • To perform requisition and applicant management activities;
  • To perform precision matching to job vacancies; 
  • To conduct screening, assessments and interviews;
  • To maintain a library of correspondence;
  • To make offers and provide contracts of employment;
  • To conduct pre-employment checks, including determining your legal right to work and carrying out criminal record and credit checks where applicable – for more information about the pre-employment checks we carry out, please speak with your recruitment/HR contact; and
  •  To ensure that we comply with our legal obligations and, where applicable, to ensure that our recruitment processes are fair

We will only use your personal information fairly and where we have a lawful reason to do so. We are allowed to use your personal information if we have your consent or another legally permitted reason applies. These include to fulfil a contract with you, when we have a legal duty to comply with, or when it is in our legitimate business interest to use your personal data. We can only rely on our legitimate business interest, if it is fair and reasonable to do so.

 

5. How long is your personal information retained?

 

Your personal information will be retained for as long as necessary to process your application and/or any of the purposes for which your personal information has been collected.

 

We may continue to hold information about you and your applications after any application process is complete, in case we need to consult it in the future if you make another application or become a Clifford Chance employee, if a dispute arises about an application that you have made or in order to contact you if potentially suitable jobs become available in the future. We will delete or anonymise your information when we no longer need it, however, although we may continue to hold purely statistical information which does not identify you in particular.

 

If at any stage you wish to withdraw an application, want your information removed from the system or do not wish us to contact you in relation to future employment opportunities, please let us know by sending an email to .

 

6. Who has access to your personal information?

 

Clifford Chance will only share your personal information with those who have a legitimate need to know.

 

Information in your profile (such as contact details) will only be available by default to the Clifford Chance people who need it to contact you and/or assess your suitability for a role. If you choose to provide us with your personal address, personal phone number or personal email address, these pieces of personal information will only be available to dedicated HR professionals during the recruitment process.

 
7. Where is your personal information hosted?

 

The site, including personal information relating to you, is hosted on secure servers operated by Oracle within the European Economic Area.

 
8. How we protect your personal information

 

We protect your personal information and implement appropriate technical and organisational security measures to protect it against any unauthorised or unlawful processing and against any accidental loss, destruction, or damage. We have robust information security management systems in place to protect your personal information, having been one of the first global law firms to be certified to the ISO27001 security standard. ISO27001 is an international information security standard which is widely recognised as an indication of best practice in information security and information risk management.

9. Do we transfer personal information outside of the European Economic Area (EEA)?

Yes - the Internet is a global environment and in order to process your application we may need to transfer personal information to Clifford Chance offices worldwide and to any third party service providers assisting us with the recruitment process. When we share personal information to Clifford Chance entities outside of the EU and EEA, we have in place an intra-group transfer agreement in the form approved by the European Commission. 

 

 

10. Do we use cookies?

 

Yes, this website uses the following cookies for session management only:

 

 A cookie is created by the application server in the pre-authentication phase. Note that cookie does not contain any confidential data. 

  •  A cookie is created after the user authentication to match with the session server as it is the case for all web applications. 
  •  The Career Section product also creates session cookies to keep information such as the candidate language and other preferences. 
  • All cookies are temporary as they are session cookies. Once the session is closed or expired, so are the cookies.

11.You have certain rights regarding how we use and keep your personal information. These are:

 

  • you can require us, to update or correct any inaccurate personal data, or to complete any incomplete personal data, concerning you. If you do, we will take reasonable steps to check the accuracy of, and correct the information. Please let us know if any of your information changes so that we can keep it accurate and up to date. 

You may also have the right, in certain circumstances to:

  •  be provided with a copy of any personal data that we hold about you, with certain related information.  There are exceptions to this right, for example where information is legally privileged or if providing you with the information would reveal personal data about another person; and
  •  to object to our use of your personal data, require us, without undue delay, to delete your personal data or to "restrict"  our use of your information, so that it can only continue subject to very tight restrictions.

You can exercise the above rights, where applicable by contacting us at recruitment@cliffordchance.com. We will require you to provide satisfactory proof of your identity in order to ensure that your rights are respected and protected. This is to ensure that your personal data is disclosed only to you.

 

Please be aware that if you exercise the above rights, we may be unable to progress your application or keep your personal information in order to contact you about future roles.

 

12. Complaining about our use of your personal data

We respect your rights and want you to be comfortable with our use of your personal data.  If you have a complaint or concern about how we use your personal data, we would like to work with you to resolve it.  You can report a concern or ask us a question by contacting the dataprivacy@cliffordchance.com.
